5 Ways to Keep Shared Files Private and Secure

A share link is convenient, but convenience shouldn't come at the cost of privacy. Whether you're sending a contract, a financial document, or personal photos, a few small habits make a real difference in keeping shared files out of the wrong hands.

1. Add a Password to Sensitive Files

A share link on its own can be opened by anyone who has it, including someone it was accidentally forwarded to. Setting a password means the link alone isn't enough, whoever opens it needs the password too.

2. Send the Password Separately

Setting a password only helps if it isn't sitting right next to the link. Send the password through a different channel than the one you used for the link, a text message instead of the same email, for example.

3. Use One-Time Download Links for Anything Truly Sensitive

For files you only ever want opened once, like a signed contract or a one-off financial statement, a one-time download link closes itself after the first use. Even if the link leaks afterward, it won't work anymore.

4. Set an Expiration Date

Files don't need to stay accessible forever. Giving a link a limited availability window means it naturally stops working once it's no longer needed, rather than sitting open indefinitely.

5. Avoid Posting Share Links in Public Places

It's tempting to drop a share link in a group chat or social post for convenience, but public links are exactly that, public. Anyone who sees the post can open the file. Keep sensitive links to direct, private messages.

HubPro supports password protection, one-time downloads, and expiration windows directly when you upload, so you can apply any of these without extra tools.
